Our services are designed for contractors, developers, and project teams who need operational support behind the scenes to keep jobs running smoothly.

Administrative support for project setup, permit tracking, document control, subcontractor compliance, reporting, and closeout.

Flexible support for contractors that need stronger systems, organized records, and additional project capacity without hiring full-time staff.

Project documentation and tracking support that improves visibility into outstanding requirements, project records, and closeout status.
Services can be provided individually, during a specific project phase, or as ongoing administrative support throughout construction. Each engagement is tailored to the contractor’s project requirements, documentation standards, and internal workflow.
Permit delays can affect scheduling, mobilization, inspections, and project completion. We provide administrative permit tracking to help contractors and project teams stay informed throughout the review process.
Our services include monitoring the status of submitted permit applications, organizing review comments, maintaining a record of outstanding requirements, tracking resubmission dates, and following up on pending items. We also provide clear status updates so the project team understands what has been approved, what remains outstanding, and what information may still be needed from the appropriate design professional, contractor, consultant, or owner.
Permit tracking services are administrative in nature and do not include preparing sealed drawings, providing code interpretations, or performing services that require a licensed design professional.
A well-organized Procore workspace gives the project team a reliable foundation for communication, documentation, and reporting. We establish the project environment so information can be stored consistently and accessed by the appropriate team members.
Depending on the needs of the project, setup may include entering foundational project information, organizing the company and project directories, assigning permissions, uploading contract documents, creating drawing folders, establishing logs, organizing project files, configuring standard workflows, and uploading an approved project schedule.
We can also help develop project-specific naming conventions and folder structures to reduce misplaced documents, duplicate files, and inconsistent recordkeeping as the project progresses.
We create and maintain project schedules in Microsoft Project to help contractors organize activities, milestones, sequencing, and anticipated completion dates. Depending on the project, we may develop an initial baseline schedule, update activity progress, identify upcoming deadlines, and prepare schedule reports for the project team.
Schedules can also be formatted and uploaded into Procore when required, helping the project team maintain access to current scheduling information within the project workspace. Schedule development is based on durations, sequencing, manpower, procurement information, and other project details provided or approved by the contractor.
We assist contractors with quantity takeoffs using Bluebeam to support estimating and bid preparation. Based on the drawings and defined scope provided, we measure and organize quantities for selected materials, areas, lengths, counts, and other project components. Deliverables may include marked-up drawings, takeoff summaries, and supporting quantity reports for the contractor’s review and pricing.
Missing or expired subcontractor documents can create administrative delays, payment issues, and unnecessary project risk. We help contractors maintain an organized record of required subcontractor documentation throughout the project.
Based on the contractor’s requirements, we track certificates of insurance, licenses, W-9 forms, executed agreements, safety documents, lien waivers, warranties, and other required records. We identify missing, incomplete, or expired items, send follow-up requests, maintain the compliance log, and provide clear status reports showing which subcontractors are current and which items remain outstanding.
Accurate project records are essential for managing construction activities, responding to questions, supporting payment applications, documenting decisions, and preparing for closeout. We provide ongoing document-control support to help maintain an organized and current project record.
Our services may include uploading and organizing contractor-provided documents, maintaining designated logs, tracking document revisions, identifying missing records, organizing correspondence, and preparing recurring document-status or project reports.
Depending on the project, we may assist with tracking submittals, requests for information, meeting records, change documentation, inspections, photographs, procurement information, and other project records.
We help contractors manage project closeout before the final stages become rushed or delayed. We establish and maintain the closeout checklist, track required documents by subcontractor or responsible party, identify missing items, send follow-up requests, and provide status updates throughout the closeout process.
As documents are received, we organize them into a clear turnover package based on the project requirements. Depending on the project, this may include warranties, operation and maintenance manuals, lien waivers, inspection records, completion photographs, approved submittals, training records, punch-list documentation, as-built records, and other final project documents.
Our role is to help the contractor track, collect, and organize required records. The final package is prepared using the documents provided by the project team and the stated closeout requirements.
Share a few details about your project and we’ll review potential improvements, feasibility, and next steps to help move the property forward.
Smart building improvements don’t happen by accident. They’re thoughtfully planned from the start.
The best way to determine whether a project makes sense and how it can realistically move forward is to start with thoughtful planning.
